TL;DR

The Meeting Prep Engine automatically generates AI briefs before every meeting — detecting whether it’s a candidate catch-up, BD intro, or client review, then building type-aware talking points, verification badges, and a timeline. Export the brief as a branded PDF. The new Action Inbox queues AI-drafted actions (follow-up emails, re-engagement messages, terms of business) for review — approve, edit, or dismiss with one click. Reference checks are now automated: send a request to a referee, they submit via a public form, and Kolvera compiles the responses into a PDF report with daily nudge reminders. Post-call processing drafts follow-up emails, logs meeting outcomes, and suggests next actions after every call. Re-engagement automation detects candidates who’ve gone quiet for 30+ days and drafts warm check-in messages routed through the Action Inbox. Automation roadmap Waves 1–3 ship scheduled scrapes, webhook events, report sharing with click tracking, and anonymised candidate profiles. Multi-calendar support with colour coding and four calendar views (day, work week, week, month). Spott joins as the ninth CRM. The MCP server grows from 133 to 159 tools. Report sharing gets a redesigned full-bleed viewer with branded letterhead. Meeting Prep Engine

  • AI-generated briefs — Before every meeting, Kolvera automatically generates a prep brief with talking points, verification badges, and a timeline of your history with the attendee.
  • Type-aware preparation — The engine detects whether a meeting is a candidate catch-up, BD introduction, client review, or networking call, and tailors the brief accordingly.
  • Prep cockpit — The meetings view is redesigned as a prep cockpit — meetings grouped by date with type chips and prep-status pills. Slide-in panel shows the full brief with a note editor.
  • Branded PDF export — Export any meeting brief as a branded PDF with your workspace letterhead for sharing with colleagues.
  • Desk routing — Scheduling links route bookings to the correct business context (desk), so the prep engine knows which role or vertical the meeting relates to.

Action Inbox

  • Review queue — AI-drafted actions (follow-up emails, re-engagement messages, terms of business) land in a central inbox for review before sending.
  • One-click approval — Approve, edit, or dismiss any pending action. Approved actions execute immediately — emails send, documents generate, pipeline stages advance.
  • Pluggable executors — Each action type has a dedicated executor that handles the full lifecycle. New action types plug in without changing the queue.
  • Sidebar badge — A live count badge on the Action Inbox sidebar link shows how many actions are waiting for your review.

Reference Checks

  • Automated requests — Send reference check requests to referees directly from a candidate record. Each request generates a unique link.
  • Public submission form — Referees complete a structured form via a public URL — no Kolvera account required. Responses are captured against the candidate.
  • Compiled PDF report — Once references are collected, compile them into a branded PDF report ready to share with clients.
  • Daily nudge reminders — Outstanding reference requests receive automatic follow-up reminders so referees don’t forget.
  • MCP tools — Create, send, check status, and compile reference reports through your AI assistant.

Post-Call Processing

  • Automatic follow-ups — After a meeting ends, Kolvera drafts a follow-up email based on the meeting type and prep notes, routed through the Action Inbox for review.
  • Outcome logging — Meeting outcomes are logged automatically — interested, not progressing, or needs follow-up — keeping your pipeline current.
  • Next-action suggestions — The engine suggests the logical next step (send TOB, schedule second interview, share float report) and queues it as a pending action.

Re-engagement Automation

  • Stale candidate detection — A daily sweep identifies candidates who haven’t been contacted in 30+ days and flags them for re-engagement.
  • Warm check-in drafts — AI drafts personalised check-in messages based on the candidate’s profile and last interaction, routed to the Action Inbox for approval.
  • Per-tenant configuration — Enable or disable re-engagement automation and set the staleness threshold per workspace.

Automation Roadmap

  • Scheduled scrapes — Set a recurring schedule on any search config. Kolvera runs the scrape automatically and notifies you when new results arrive.
  • Webhook events — Fire outbound webhooks on link clicked, email opened, enrolment complete, and scrape complete events. Route them to Zapier, Make, or your own endpoints.
  • Report sharing — Generate a public URL for any Intelligence Report or Candidate Float. Recipients view the report without a Kolvera account. Click tracking shows who opened and when. Revoke access any time.
  • Anonymised candidate profiles — Generate a blind candidate specification with identifying details removed. Share the anonymised profile via a public URL for client introductions before revealing the full candidate.
  • Idempotency keys — Pass an optional idempotency key on contact and company creation to safely retry without creating duplicates.
  • Call-prep from Fathom — AI reads your Fathom meeting transcripts and surfaces profile suggestions you can apply or dismiss, keeping Reverse Market Profiles aligned with what candidates actually said in calls.

Multi-Calendar & Calendar Views

  • Connect multiple calendars — Link more than one Google calendar to your Kolvera workspace. Each calendar gets a label, colour, and default setting.
  • Per-calendar filtering — Toggle calendars on and off from the meetings grid to focus on the ones that matter.
  • Colour-coded events — Each connected calendar has a distinct colour on the grid so you can tell at a glance which calendar an event belongs to.
  • Scheduling link assignment — Assign a specific calendar to each scheduling link so bookings land in the right place.
  • Aggregated availability — Busy blocks from all connected calendars are combined when checking availability, preventing double-bookings.
  • Day / work week / week / month views — Switch between four calendar layouts on the meetings grid. Toggle between business hours and 24-hour display.

Spott CRM Integration

  • Bidirectional sync — Contacts, prospects, candidates, clients, and client contacts sync both ways between Kolvera and Spott.
  • Webhook receiver — Spott pushes updates to Kolvera in real time via an inbound webhook. No polling delay.
  • Ninth CRM — Spott joins Atlas, HubSpot, Zoho, Bullhorn, JobAdder, Capsule, Pipedrive, and Close as a connected CRM.

MCP Server & AI Assistant

  • 159 tools — 20 new MCP tools added for meeting prep, reference checks, terms of business, review queue actions, re-engagement sweeps, post-call processing, and automation settings.
  • Registry v1.3.0 — Updated in the official MCP registry at io.kolvera/kolvera. All MCP-compatible clients (Claude, ChatGPT, Cursor, Windsurf) see the latest tools automatically.
  • Campaign statsget_campaign_stats now returns active queue size, completed count, and removed count for better pipeline visibility.
  • Persona filtering — Find Contacts results can be filtered by seniority and function, so your AI assistant only returns decision-makers when that’s what you need.

Reverse Market Profile Improvements

  • Consistent naming — All user-facing references standardised to “Reverse Market Profile” across the platform — guides, help text, MCP tools, email templates, and the chatbot.
  • Smarter generation — Profile generation now reads Fathom call transcripts and meeting summaries to weight candidate preferences confirmed in conversation over generic role defaults.
  • Engagement type — Specify permanent, contract, or both on each Reverse Market Profile. Linked companies show their engagement bucket (perm/contract) on the company map.
  • Regeneration improvements — Regenerating a profile reuses the existing record instead of creating duplicates. Company map additions are add-only, preserving manual curation.
  • Prospect linking — Link prospects to Reverse Market Profiles in bulk from the Prospects page. Prospect membership now works symmetrically with ICP profiles.

Report Viewer & Sharing

  • Full-bleed layout — Shared report viewer redesigned with a full-width layout — no more dead space on the sides.
  • Branded letterhead — Reports display your workspace letterhead at natural aspect ratio, centred and capped at half-page height.
  • Local timezone — All timestamps in shared reports display in the viewer’s local timezone.
  • Candidate Reports tab — Saved candidate Float reports and share links surfaced in a dedicated, counted Reports tab on the candidate detail page.

Company Quality

  • Verification gateway — All company creation paths now route through a verification step that checks the company name against real business records before saving.
  • Company merge — Merge duplicate companies from a dedicated merge page. Supports multiple merge targets, domain clash detection, and FK reassignment.
  • Mismatch correction — When deep research discovers that a company’s industry doesn’t match its name, the record is automatically corrected.

Email Attachments

  • Campaign attachments — Upload PDF or DOCX files to campaign email steps. Attachments are sent with every email in that step, across all transports (SMTP, SendGrid, Microsoft Graph).
  • One-off attachments — Attach files when sending individual emails from contact, prospect, or candidate pages.
  • Validation — Up to 3 files per email, 2.5 MB total. PDF and DOCX only.

Data Integrity

  • Dedup merge engine — Automated duplicate detection and merging for contacts and companies. High-confidence matches merge automatically; lower-confidence clusters are flagged for review.
  • Unique indexes — Database-level uniqueness constraints on email, LinkedIn URL, and company domain prevent duplicates at the source.
  • Input validators — All contact and company creation paths validate and normalise phone numbers (AU E.164), LinkedIn URLs, names, and email addresses.
  • Gmail dedup — Gmail dot tricks and plus-tag aliases are normalised so john.doe@gmail.com and johndoe+work@gmail.com resolve to the same contact.
  • Uniform search — All people pages (contacts, prospects, candidates, pipeline) use the same search logic, so results are consistent everywhere.

Bug Fixes & Reliability

  • 43 bug fixes — A structured bug hunt covered enrichment billing, campaign send safety, calendar sync, security hardening, and data consistency.
  • Monthly credit reset — Annual subscribers now receive their monthly credit allocation correctly. Previously, only webhook-triggered resets worked.
  • Candidate detail fix — Slug-based URLs on candidate pages now correctly load stage history, documents, meetings, reports, and messages.
  • Meetings sort order — The meetings list now defaults to newest-first within each time bucket (today, this week, upcoming, past).
  • Security hardening — API authentication scopes tightened, tenant isolation on ICP and enrichment routes reinforced, and shared report viewer secured against XSS.
