Meeting Notes holds authorised transcripts and summaries, including meetings with people who are not yet contacts. Native automatic capture is an internal pilot, not a generally available customer feature.

Find notes

Open Meetings → Meeting Notes. Search by title or discussion; filter by date, status, calendar, linked/unlinked contacts or participant. Open a conversation to read its summary and transcript. Capture and transcript status are separate; a finished meeting may still be processing or have only partial capture.

Set up capture — pilot accounts only

  1. Connect a calendar through Integrations.
  2. On Meeting Notes, select calendars and review the private-event option.
  3. Acknowledge that you will notify participants and obtain required recording consent, then enable Automatically join selected meetings and save.
  4. Check calendar health and capture status. Capture can join when you are late or absent; a host may need to admit the notetaker. Declined, cancelled and all-day events are excluded.

If capture is awaiting pilot setup, saving a preference does not grant access. General availability and customer pricing have not been announced.

Add a meeting happening now

Eligible pilot users can choose Add a meeting link, enter the title and supported meeting URL, then select Join meeting. Earlier discussion cannot be recovered. Check the per-meeting and monthly minute limits shown on Meeting Notes. Active or uncertain captures can reserve minutes until the outcome is confirmed.

Contacts and privacy

Conversations can remain unlinked. From the detail page, link an existing visible contact or review details to create and link a person. Linking adds the note to their Meeting Notes; it does not grant other people conversation access or run enrichment or outreach.

Audio is processed into text, then removed. Notes remain until deleted. Use Stop notetaker for active capture, Retry processing when appropriate, or Delete conversation after reviewing confirmation. Check incomplete captures before relying on summaries.

Follow-on workflows

Meeting-derived profile refreshes, Float drafts, client submissions and publication have a separate later-release gate. A listed API or MCP tool does not mean the workflow is enabled. Core capture does not authorise sending outreach or publishing jobs.

Existing Fathom integration is separate from native capture. See Integrations and Calendar & Meeting Prep.
